1. Child Supervision & Safety Policy

Purpose

The Celebration Station is committed to providing a safe, welcoming and inclusive environment where children can learn, explore and play. This policy outlines the responsibilities of parents, carers and The Celebration Station staff to help ensure the safety and wellbeing of everyone attending our sessions, parties and events.

Please note that The Celebration Station is not a childcare service. Parents and carers are responsible for supervising the children in their care at all times.

Scope

This policy applies to all sensory play sessions, workshops, birthday parties, community events and activities operated by The Celebration Station.

Policy Statement

The Celebration Station is dedicated to creating engaging, developmentally appropriate experiences while maintaining a safe environment for all participants.

Parents and carers remain responsible for supervising their children at all times.

Parent & Carer Responsibilities

  • Remain on-site during the entire session.

  • Supervise children at all times.

  • Inform staff of allergies or medical conditions.

  • Follow staff directions.

  • Ensure children use equipment safely.

  • Wear suitable clothing and footwear.

Celebration Station Responsibilities

We will:

  • Conduct safety checks.

  • Maintain clean equipment.

  • Remove damaged equipment.

  • Monitor the environment.

  • Provide first aid where appropriate.

  • Complete incident reports.

  • Maintain Working With Children Checks where required.

Policy Review

This policy will be reviewed annually.

2. Child Safe Code of Conduct

Our Commitment

The Celebration Station has zero tolerance for child abuse, neglect, exploitation or grooming.

Every child has the right to:

  • Feel safe.

  • Be respected.

  • Be included.

  • Have their voice heard.

  • Participate free from discrimination.

Staff Will

  • Treat every child with kindness and respect.

  • Maintain professional boundaries.

  • Encourage positive behaviour.

  • Listen to children.

  • Report safety concerns immediately.

  • Respect confidentiality.

Staff Will Never

  • Bully or humiliate a child.

  • Use inappropriate language.

  • Use unnecessary physical contact.

  • Be alone with a child where avoidable.

  • Exchange personal contact details.

  • Contact children through personal social media.

  • Photograph children without consent.

Parents

Parents and carers are expected to:

  • Treat everyone respectfully.

  • Supervise their children.

  • Follow staff directions.

  • Respect other families.

3. Health, Hygiene & Cleaning Policy

Our Commitment

The Celebration Station maintains high standards of hygiene by:

  • Cleaning and sanitising equipment before and after sessions.

  • Maintaining clean sensory materials.

  • Encouraging hand hygiene.

  • Following safe food handling practices.

  • Inspecting equipment before every session.

Before Sessions

Staff will:

  • Clean tables.

  • Sanitise toys.

  • Inspect equipment.

  • Prepare clean sensory materials.

During Sessions

Staff will:

  • Monitor cleanliness.

  • Remove contaminated materials.

  • Address spills and hazards.

After Sessions

Staff will:

  • Sanitise equipment.

  • Wash reusable items.

  • Launder fabrics.

  • Dispose of waste safely.

  • Restock cleaning supplies.

4. Incident, Injury & First Aid Policy

Our Commitment

The Celebration Station is committed to responding quickly and appropriately to all incidents.

First Aid

A stocked first aid kit is available at every session.

Where possible, first aid will be provided by a qualified first aider.

Incident Procedure

Staff will:

  1. Make the area safe.

  2. Provide first aid.

  3. Contact parents.

  4. Call 000 if required.

  5. Complete an Incident Report.

  6. Review the incident.

5. Booking & Cancellation Policy

Party Bookings

A $50 non-refundable booking fee is required to secure all party bookings.

Bookings are not confirmed until the deposit has been received.

Party Cancellations

  • The $50 deposit is non-refundable.

  • Cancellations made within 7 days of the party will result in the remaining balance also being non-refundable.

  • Where possible, we are happy to reschedule your party to another available date.

Sensory Sessions

If your child cannot attend due to illness:

  • Please notify us.

  • A make-up session will be offered where available.

  • Refunds are not provided for missed sessions due to illness.

6. Illness & Infectious Disease Policy

Children should not attend if they have:

  • Fever.

  • Vomiting.

  • Diarrhoea.

  • Contagious rash.

  • Conjunctivitis.

  • Hand, Foot & Mouth Disease.

  • Chickenpox.

  • Influenza.

  • COVID-19.

  • Any contagious illness.

Children should be symptom-free for at least 24 hours after vomiting or diarrhoea before returning.

If a child becomes unwell during a session, parents will be notified immediately.

7. Allergy & Food Safety Policy

Parent Responsibilities

Parents must advise us of:

  • Allergies.

  • Dietary requirements.

  • Medical conditions.

  • Emergency medication requirements.

Food Safety

The Celebration Station follows safe food handling practices.

However, we cannot guarantee that food or sensory materials are free from allergens or cross-contamination.

Parents remain responsible for supervising children with allergies.

8. Photography, Video & Social Media Policy

Consent

Parents are asked during the booking process whether they consent to photography or videography.

Where practical, staff will also verbally confirm consent before sessions.

Consent may be withdrawn at any time.

Images May Be Used On

  • Website

  • Facebook

  • Instagram

  • TikTok

  • YouTube

  • Promotional material

Privacy

Children without consent will not be intentionally photographed.

As sessions are often held in public spaces, incidental appearances may occasionally occur.

Parents are also asked to respect the privacy of other children when taking photographs.

9. Privacy Policy

The Celebration Station collects only the information necessary to provide safe and efficient services.

Information may include:

  • Parent names.

  • Contact details.

  • Emergency contacts.

  • Children's names.

  • Allergies.

  • Medical information.

  • Accessibility requirements.

We do not sell personal information.

Payment information is securely processed through trusted third-party providers.

Information is stored securely and only accessed by authorised persons.

10. Emergency Management Policy

In an emergency, staff will:

  • Assess the situation.

  • Contact emergency services if required.

  • Follow venue emergency procedures.

  • Direct families to the assembly area.

  • Notify parents.

  • Complete an Incident Report.

Missing Child

If a child cannot be located:

  • Parents will be notified immediately.

  • Staff will search the immediate area.

  • Venue management will be advised.

  • Police will be contacted if necessary.

Severe Weather

Outdoor events may be postponed or relocated due to:

  • Lightning.

  • High winds.

  • Flooding.

  • Bushfire risk.

  • Extreme heat.

Discrimination, bullying, harassment or abusive behaviour towards staff, volunteers or other families will not be tolerated.

Where reasonably practicable, we will make adjustments to support children with additional needs while maintaining the safety and wellbeing of all participants.
